Policies RESERVATIONS We are a small motel, and we treat reservations seriously. We do not overbook. We assume that you really want a place to stay and that you are making your reservation in good faith. It is a two way commitment, because we DO hold your accommodation for you as you have requested, and we DO expect you to show up. The Village of Buxton is located on a barrier island. It takes almost 2 hours to drive from Buxton to the mainland United States. Consequently, we cannot always re-rent your accommodation if you should decide to cancel. We are a destination motel, Buxton is not a place where people just happen to be driving by and decide to stop for the night. The folks we turned away by phone have already made other plans. If a cancellation must be made, please let us know as soon as possible so we may do our best to fill the vacancy. DEPOSITS Your deposit is a guarantee for both of us and MUST be received within 7 days of making the reservation. The deposit will be applied to the END of your reserved time. The amount of the deposit will be one half of the entire time reserved, unless it is a one night stay which must be paid in full in advance. We can ONLY accept deposits made by check or money order. If your reservation is made within 10 days of your arrival date, then deposits must be CHARGED to a credit card. Outstanding balances will be due upon arrival, for the FULL time reserved. Accepted payment methods are cash, credit card, money order, travelers check, (personal checks accepted for our established guest only) We accept Visa, Master and Discover cards, just NOT for advance deposits. If you wish to check into your place any time before 10:00AM then you must pay for the previous night, so we can guarantee that your accommodation is ready upon your arrival CANCELLATIONS Early departures or arriving at a later date, than originally reserved are considered, and will be treated as, cancellations for those nights. There is a $25.00 cancellation fee for any cancellation. *The cancellation fee will be doubled to $50 if the reservation involved a holiday. If a cancellation is made within 30 days of the arrival date, on any unit with a kitchen, then the deposit is NON-REFUNDABLE. (14 days for a REGULAR motel rooms only) If we are able to re-rent the entire time, or the cancellation is made outside of the 30 day arrival date, then the deposit will be refunded, less the cancellation fee. PLEASE do not make a reservation unless you are sure! We MUST enforce our policies, no exceptions please! REFUNDS There are NO REFUNDS due to poor weather, fishing, surfing, cancelled events, contest elimination etc. Under no circumstances will there be a reduction of rent or refund for any mechanical failure of equipment, air conditioners, heaters, dishwashers, washers, dryers, TVs, VCRs, DVD Players, Hot Tub, or any other appliances. Being located on or vacationing on a barrier island can result in some hardships. We do try to be prepared but we do not have 24 hour a day, easy, quick and convenient access to parts and supplies for everything, or the funds or space to keep spare parts, appliances etc. on hand for every possible scenario that may arise. Power and cable outages are a frequent occurrence on a barrier island, so please be patient and observant. If you notice that nobody around you has lights or TV, than that means there is an outage, we have no control over this and it is not necessary to inform the office. We will post a notice at the office if we have any information regarding the situation. If your particular accommodation is the only one affected then by all means let us know and we will do our best to rectify the problem in a timely fashion. NOTICE TO GUESTS - This property is privately owned and operated and management reserves the right to refuse service to anyone and will not be responsible for accidents or injury to guests or for the loss of valuables. SMOKING We do not designate any rooms as non-smoking. We do ask our smokers to limit smoking indoors as much as possible. Keep in mind that we can open our doors and windows to allow ventilation and fresh air into the rooms. ADDITIONAL FEES: There will be a $25.00 service charge on all returned checks. Units must be left reasonably clean, with the furniture where you found it, free of trash & leftover food, dishes washed, oven/stove as clean as you found it, etc. A minimum $50 cleaning fee will be assessed for any situation that warrants extra cleaning beyond normal expectations. Roll away beds, porta-cribs & beach umbrellas can be obtained for $7.00 per item, per stay. A $15 charge plus actual postage is required to mail left behind. Items - after 30 days, the items will be donated to charity. You are responsible for any damages to property or belongings of Buxton Beach Motel incurred by your party.
